Job Title: Buyer


 


Direct supervisor: Commercial manager


 


OBJECTIVE:


 


The Buyer’s role is to help the project meet quality and commercial standards and facilitate the company’s goal to deliver on time and within budget. The role oversees commercial administrative duties in Mali and is supported by the Perth based Commercial team and Contract Administrators on Site, with day-to-day liaison with the Perth based Contract Administration Assistant.


Reporting directly to the Commercial Manager the role will support the contract pre-award and post award processes and assist in the preparation of necessary reports for the Project.


The Buyer is one of the key owners’ team contacts for contractors, addressing or directing transactional contract administration concerns and enquiries as necessary within the responsibilities of the role. The role works collaboratively with the finance team and other administrators for the Project ensuring shared goals and objectives are achieved.


 


 


TASKS AND RESPONSIBILITIES:

STANDARDS OF PERFORMANCE


Commercial Support


·       Provide administrative support to the commercial function, specifically the contract tendering and award process.


·       Maintain registers (as required)


·       File documentation accordingly


·       Liaise with vendors and follow up on outstanding orders


·       Raise requisitions for, equipment, parts, materials and resources as instructed.


Policies and Procedures


·       Identify procedural non-conformances for the Project and assist in remedial measures as required.


·       Provide input to processes and procedures based on ‘in-practice’ recommendations.


·       Facilitate input into commercial documents as may be required to be prepared under company policies and procedures


Finance and Costing


·       Process invoices and arrange approvals prior to forwarding to Accounts Payable.


·       Liaise with finance/cost control departments to ensure Project costs are assigned correctly


·       Ensure that invoice payments are accurate, timely, in line with the terms of the contracts and authorised.


·       Liaise with Finance Department to ensure timely payment of Project invoices and correctness of cash calls.


·       Communicate actual costs to the Perth team at regular intervals.


Reporting


·       Collect and analyse Project data for reporting purposes


·       Request, expedite and collate data for all reports, providing plenty of lead time


·       Assist Commercial Manager and Contracts Manager with budgeting and regular reporting


Administrative Support


·       Provide daily support to project team as directed by Manager


·       Attending meetings, accurate minute taking and timely dissemination of minutes / action trackers


·       Advise projects personnel when items have been received at site / in the store.


·       Advise the Projects Team of any preventative/corrective actions required to ensure achievement of goals and objectives.


 


POSITION REQUIREMENTS


 


Job Classification: According to the Collective Agreement of Companies and Enterprises

   Geological and Hydrogeological Mining in the Republic of Mali in force


Duty Station: Bamako

Date of entry into service:  as soon as possible following the end of the publication of this vacancy announcement

Nature of the contract: Open ended contract

 


QUALIFICATION AND EXPERIENCE :


 


Have at least Bac+4 in procurement or equivalent.

Have a professional experience of at least five (5) years as buyer, especially in the mining sector.

Ability to take accurate minutes and timely dissemination of minutes / action trackers

Preparation of project reports
