Vacancy Announcement: Customs Coordinator
Location: Goulamina, Mali
Reporting Relationship: Inbound Logistics Supervisor
Position Purpose:
The Customs Coordinator is entrusted with the responsibility of executing all allocated customs clearance, documentation, coordination, and administration in strict adherence to the company's established policies and procedures. Success in this role is exemplified by the compliant, efficient, and effective clearance of all inbound shipments through the application of controlled and well-governed practices.
Major Responsibility Areas:
- Create and enforce Import/Export Procedures.
- Classification and Coding of Goods.
- Cultivate strong relationships with the local customs office.
- Conduct assessments to evaluate risks associated with customs compliance and recommend strategies for risk mitigation.
- Identify ways to enhance customs procedures and reduce costs.
- Develop sound relationships with the local customs office, Third Logistics companies, and Freight Forwarders.
- Handle Import/Export Control.
- Process/paid VAT refund claims. Manage and monitor exemption requests on behalf of the company.
- Provide the company with advice on customs regulations, guidance, and updates related to customs clearance.
- Calculate customs charges.
- Manage Duty Reliefs.
- Create and maintain records for all LMSA's customs clearance.
- Support internal and external customs audits by providing the required documentation and information.
- Act as a communication link between the company and customs authorities.
- Track, report, and manage the administration of PVI import duties, Mineral export Stamp duties, Freight insurance, and all customs-related inspections (BIVAC) etc.
- Track and update Pronto XI ERP's shipment module with Freight costs for all inventory purchases before goods receipt on site.
- Maintain and file asset-related customs documentation for ALL Purchased Assets, including administration of equipment temporary admissions and annual customs tax payments.
- Review and update appropriate HS codes for all material purchases, ensuring accuracy and appropriate duties are applied on imports.
- Review customs duties rates and values for accuracy on each shipment.
- Maintain and keep up to date permits and licenses register, including managing timely applications for renewals and extensions, to ensure uninterrupted shipments of mineral products.
- Maintain accurate customs documentation for mineral shipment and sales.
- Review and code all Customs Invoices to ensure accurate allocation to Purchase Orders.
- Manage and follow up customs clearance for all import/export shipments, review and validate customs duties for customs brokers.
- Track, report, and manage the administration of all customs-related documents (declaration, import/export license, exemption title…) and follow up the shipments under global import/export.
- Participate in the KPI evaluation of the customs broker.
Position Holder Requirements:
- Bachelor's degree in Transit-Customs or similar or equivalent experience.
- 3-5 years in a similar position.
- 5+ years within the mining or resources industry, preferably in West Africa.
- An effective communicator with team members, peers, and site leadership – written and verbal (French and English).
- Well-developed scheduling and administrative skills, deadline-focused.
- Demonstrated ability to work with end-users and suppliers from different origins and cultures.
- Uncompromising on Ethical, Safety, and Environment standards being met.
- Proficiency in Microsoft suite of tools (Word, Excel, PowerPoint, etc.).
- Understanding of end-to-end supply chain activities and purchasing, logistics, warehousing, and inventory best practices.
