Position: Logistics Contract Administrator


Location: Mali - Goulamina


Reporting Relationship: Product Haulage Superintendent


 


We are currently seeking a highly motivated and detail-oriented Logistics Contract Administrator to join our team in Mali - Goulamina. As a Logistics Contract Administrator, you will play a vital role in supporting our Product Haulage Logistics team to ensure smooth execution of Final Product Haulage schedules and Logistics and Export documentation. You will oversee administrative functions related to logistics, collaborate with the Finance and Admin teams to ensure compliance with procedures, and maintain strong relationships with key stakeholders.


Position Purpose:


The Logistics Contract Administrator's primary responsibility is to provide crucial support to the Product Haulage Logistics team, ensuring the timely preparation and management of documentation required for product exports. You will actively participate in operational and review meetings, reconcile production reports, and maintain effective communication with stakeholders. The role will be based in Mali and supported by logistics teams in Cote d'Ivoire.


Key Responsibilities:


- Produce and manage essential documentation for product export.


- Prepare and submit mineral Export permit renewals, ensuring prepaid balances of mineral export stamp duties are maintained.


- Liaise with Freight Forwarding companies to ensure timely submission of all required paperwork, avoiding any delays.


- Compile Daily, Weekly, and Monthly production reports.


- Reconcile production reports against Transport Companies, Freight Forwarding Companies, and Abidjan haulage figures.


- Act as the point of contact for Product Haulage Logistics queries on-site.


- Monitor the performance of Freight Forwarding providers to ensure contractual obligations are met and minimize delays.


- Provide accurate time records for logistics employees.


- Ensure relevant documents are supplied to the Finance team within specified timelines for accurate reporting.


- Administer contractor and EPCM commercial performance, including invoicing, change negotiations, claims, and contract closure.


- Identify procedural non-conformances and support remedial measures for logistics processes.


- Liaise with Finance and Cost Control departments to ensure accurate assignment of Logistics costs.


- Prepare monthly reports for the finance and logistics management teams.


- Collect and analyze Logistics data for reporting purposes.


- Assist in budgeting and regular reporting as required by the Finance Manager and Logistics Manager.


- Actively participate in Health and Safety policies and initiatives and integrate Health and Safety considerations into Contracts processes.


Qualifications and Skills:


- Minimum of 3 years' experience in a Contract Administrator or similar role.


- Advanced proficiency in MS Office suite.


- Commercial tertiary qualification is required.


- Familiarity with typical contract administration duties.


- Experience with export documentation and freight forwarding is preferred.


- Proficiency in both English and French languages is an advantage.

- Willingness to learn and utilize Logistics software applications used by projects.
